*An Administrative fee of £100 (currently waved) payable at the start of our tenancy or property management packages. This is then reduced to £50 for every new tenancy.
Market appraisal
A member of our experienced team will visit your property and advise you of rental value. We will also advise on any cost effective repairs, renewals or improvements that could be made to ensure your property has maximum appeal and achieves its full rental income potential.
Marketing of property
Potential tenants are increasingly using the various on-line property portals to search for their ideal property to rent. Here at 01 Property Letting we have developed our agency specifically to respond to this trend. We will market your property instantly on-line through our website www.01propertyletting.co.uk, www.rightmove.co.uk, www.propertyfinder.co.uk and www.latesthomes.co.uk. Your property will also be featured in the property section of Times Online, Yahoo.co.uk & MSN. We use search engine optimization to ensure that our website appears near the top of the first page of any Brighton and Hove related property rental search. We will also advertise your property in Brighton’s property bible ‘Latest Homes’ magazine. Our software allows us to quickly match your property with registered applicants who will receive an immediate text, email or phone notification that your property is available. We will erect one of our stylish and eye catching ‘To Let’ boards outside your property.
Accompanied viewings
We will make all the necessary appointments for viewings to your property in line with your instructions. All viewings are accompanied. By arrangement, evening or weekend appointments can be accommodated. A fundamental element of our service is immediate e-mail feedback to you on viewings.
Referencing of tenants
All tenants are fully referenced using an independent, specialist referencing agency to ensure we find you the best quality tenants. This will include a credit check, County Court Judgment & Bankruptcy searches as well as contacting the applicant’s employer to verify salary and employment details. If appropriate, a reference from a previous landlord will also be obtained to ensure that the applicant has paid their rent on time and looked after the property. You will be kept informed by email of how referencing is proceeding. Our two objectives are to ensure that your property has a quality tenant and that they move in as quickly as possible to minimise void period.
Preparation & signing of the tenancy agreement
Our tenancy agreements have been fully audited to ensure that they are fair to both parties and meet all legal obligations. If a tenant requires a guarantor we will also prepare the guarantor’s agreement.
Taking of deposit & first months rent
We take a month’s rent deposit as standard but can increase this if you instruct us to do so. We will not allow a tenancy to commence until we have received the first month’s rent and deposit in cleared funds.
Protection & management of deposits
From 6 April 2007, all landlords and letting agents taking deposits for Assured Shorthold Tenancies in England and Wales must safeguard them with a Government authorised tenant deposit protection scheme. We keep deposits in a separate client deposit account and they are protected by the Tenancy Deposit Scheme. If you choose not to instruct us to protect the deposit we will forward it to you and you will be required to register it with one of the authorised schemes and notify the tenant which one within 14 days.
Proactive collection of rent
We will set up a standing order from the tenant’s account to our client account to ensure we receive the rent on time each month.
Proactive rent arrears management
Should the tenant be late in paying we will take appropriate action to ensure the rent is collected as soon as possible. We have a comprehensive rent arrears collection process.
Landlord SMS or email notification of receipt of rent
We will send you a text message and/or an email notification on the due date that we have received/ not received rent payment into our account. Should the rent not be received on the due day we will proactively implement our late rent procedures.
Direct BACS payment of rent to your bank account
We will forward collected rent to you by BACS on the same day that we receive it.
E-Statement
A statement detailing income, expenditure and payment will be emailed to you each month on the same day we transfer funds. A paper statement can be sent to you if required for an additional £1.50 per statement.
Renewal of tenancy agreements
Should both you and your tenant wish to extend the tenancy beyond the original agreed term we will draw up the necessary agreements.
Serving of notices to vacate
If you require possession of your property it is essential that the due process is followed correctly. We will ensure that the correct notice is served and procedures followed.
Serving of notices to increase the rent
Once a fixed term tenancy has expired it may be appropriate to increase the rent. We will advise you as to current market conditions and serve the prescribed Section 13 notice if a rent increase is required.
Preparation of inventories & schedule of condition
To avoid disputes at the end of the tenancy it is essential to document the condition of the property and all items within it. We will prepare a full inventory of all items along with a detailed description and pictures to avoid discrepancy.
Damage/ wear & tear assessment at move out
When the tenant vacates the property we will arrange a site visit to assess any damage or wear and tear. We will prepare a report and mediate with the tenant regarding any deductions from the deposit should it be necessary.
Arrangement of safety checks of gas & electricity
Legislation demands that an annual safety check be carried out on all gas appliances. We will arrange access with the tenant to allow our nominated CORGI registered engineer to check all appliances annually. We will ensure that the relevant certificates are forwarded to the tenant and held on file on your behalf to ensure full compliance. We also recommend annual checks on electrical appliances which we will arrange if instructed.
Tenant management (office hours)
We will be the first port of call (by telephone and /or email) for tenants regarding your property or the tenancy.
Tenant management (24 x 7 x 365)
Outside of office hours a 15 minute call back service is in operation for tenants if they have any emergency issues with the property.
Management of repairs & renewals
Should the property require any repairs or renewals we will liaise with either our sister company, in-house contractors (01 Property Maintenance Ltd.) or external contractors as per your instructions. We will arrange access with the tenant and manage the matter through to conclusion as quickly as possible. We will keep you fully informed of progress and expected costs.
Landlords Online
Landlords Online is a suite of products that allows you the landlord to have secure access in real time to your account with us.
Meter readings at start and end of tenancy
We will visit the property and take meter readings which will be logged into our database to avoid any future confusion over liability.
Local authority & utilities change of tenancy management
We will advise the appropriate utility companies at each change of tenancy and provide them with meter readings and forwarding addresses of outgoing tenants.
Planned periodic property inspections
To ensure that the tenants are looking after your property we will arrange an inspection during the first 4 months of the tenancy and periodically as appropriate thereafter.
Arranging for key cutting
Should you need extra sets of keys we will arrange for these to be cut and tested for you. Please note that this does not cover the actual cost of the new keys.
Property information pack
We will compile a comprehensive information pack for the new tenant. This includes instructions of what to do in an emergency and instruction manuals for appliances (where supplied).
